The RSVP ecosystem

From the ask to the entry file, in one loop.

Families answer on their phones, you see their answers where you build the lineup, and the meet gets staffed in the same place.

  1. Ask

Ask which sessions each swimmer can make, right from the meet. SwimDesk works out who to ask on the meet’s age-up date.

  2. Answer

Families answer swimmer by swimmer on SwimDesk Live. The ask reaches their inbox and the team’s Feed.

  3. Enter

On Entries, “Said they can make it” narrows the list. Answers guide you; they never enter anyone for you.

  4. Staff and share

Put up timer and hospitality jobs by session. Once the meet is official, its results post to the Feed by themselves.

For age-group clubs

Everything a club’s families ask you about.

Meets & RSVP

Ask by session, by day or for the whole meet, with an answer-by date families can see. Rename a session on re-import and every answer that still fits is kept.

Volunteer jobs & hours

Timer, runner, hospitality and more, from templates. The last spot goes to one family, and each family keeps one hours total toward your target.

Feed

Post to the whole team or to groups by name, so Gold still means Gold next season. Cheers are on; comments are yours to turn on.

Files

Share PDFs and photos with the families they’re for. Photos lose their location data before anyone sees them.

Entries by age-up date

Eligibility on the meet’s age-up date, swim-ups offered, and the HY3 your host expects, or no file at all when both teams are on SwimDesk.

Motivational times & records

USA Swimming’s 2024–2028 motivational times built in, team records by age group, and the badges you choose to give.

By invitation, team by team

A family sees your Families area only after accepting your team’s invitation, and only while their swimmer is on your roster.

Families never see the desk

Practices, notes and the coaching workspace stay with your staff.

Two guardians, one family

Hours and head counts are kept per family, so nobody is counted twice.

Questions from clubs

Tell us about your club.

Talk to us
How do families get in?

You invite them from your roster, and they accept with a free SwimDesk Live account. Only families you invite see your Families area, and only while their swimmer is on your team.

Do families’ answers enter swimmers in events?

No. On Entries an answer is a filter and a mark. You still decide who swims what, and an answer never enters anyone.

Can two parents share one family?

Yes. Adults linked to the same swimmers share one volunteer total and one head count for team events.

Bring every family into the loop.

A coaching desk, a companion for the pool, and a Families area your head coach turns on when the club is ready.
